How to Use Microsoft 365 Copilot: A Practical Guide for Small Businesses

If your business runs on Microsoft 365, the AI assistant your team will get the most from is probably already within reach. Microsoft Copilot works inside Outlook, Teams, Word, Excel and PowerPoint, using the accounts, files and permissions you already have. But “Copilot” covers two very different things, a free chat assistant and a paid add-on that works with your company data, and many small businesses pay for the wrong one or roll it out without preparing. This guide explains the difference, shows what to ask Copilot in each app, and walks through a safe setup.

Free Copilot Chat vs paid Microsoft 365 Copilot

Included with Microsoft 365

  • Secure AI chat for business accounts, with enterprise data protection
  • Grounded in the web, and in files you upload or open
  • Great for drafting, summarizing and research
  • Can’t search your mailbox, calendar, Teams chats or SharePoint on its own

Paid add-on

Microsoft 365 Copilot

  • Works with your email, meetings, chats and files, within each person’s existing permissions
  • Built into Outlook, Teams, Word, Excel and PowerPoint
  • Meeting recaps, inbox triage, agents that complete multi-step tasks with approval

Copy-ready prompts

Before you roll it out: fix oversharing first

The paid version of Copilot can only see what each person already has access to, but it’s very good at finding it. If your SharePoint sites, Teams or shared folders are open to “Everyone” or the whole company, Copilot can surface salary spreadsheets, HR files or client contracts to anyone who asks the right question. Most small businesses have some of this oversharing, and it’s the number one thing to fix before turning Copilot on.

Will the paid licenses pay for themselves?

Most users need only a few minutes a day of real time savings to cover the license. The real question is whether people actually use it, which is why a measured pilot matters.

Frequently asked questions

Does Microsoft use our data to train its AI?

For business accounts, Microsoft states that prompts and responses in Copilot Chat and Microsoft 365 Copilot are covered by enterprise data protection and aren't used to train its foundation models. Check your agreement and admin settings to confirm what applies to your tenant.

Do we need Microsoft 365 Business Premium?

No. The Copilot add-on works with qualifying Microsoft 365 business plans, including Business Basic, Standard and Premium. Premium adds security features, such as sensitivity labels and advanced device management, that make a Copilot rollout safer.

Copilot or ChatGPT?

If your work lives in Microsoft 365, Copilot's access to your email, files and meetings is hard to beat. ChatGPT and Claude are excellent general assistants and may be stronger for some writing and analysis tasks. See our full comparison.

Can we buy licenses for just a few people?

Yes. You can license Copilot per user, so most small businesses start with a handful of people who'll benefit most, measure the results, and then expand.
