Your rules

Not legal advice. This is a practical starting point. In regulated industries, or if you handle EU or certain U.S. state data, have your attorney or compliance advisor review the final version.

How to roll out your policy

  1. Fill in the gaps. Add real examples from your business to the data tiers. Specific examples are what people remember.
  2. Set up the approved tools. Use company accounts with multi-factor authentication, and turn off model training on your data where the tool allows it.
  3. Hold a 30-minute kickoff. Walk through the green/yellow/red rule with real examples, and explain why the policy helps people use AI more, not less.
  4. Collect acknowledgments and store them with your other policy records.
  5. Review it on schedule, and whenever you add a new AI tool.

Frequently asked questions

Is my information saved or sent anywhere?

No. The generator runs entirely in your browser. Your company name and choices are never sent to us or stored, and the policy disappears when you close the page, so copy or download it first.

Do small businesses really need an AI policy?

Yes. Your employees are almost certainly using AI already, often with free personal accounts. A one-page policy is the cheapest way to prevent customer or company data from ending up somewhere it shouldn’t.

Can I edit the policy after downloading?

Yes. The Word download opens in Microsoft Word or Google Docs, where you can add your logo, adjust wording and add examples. It’s meant as a starting point you make your own.
