If your business already runs on Google Workspace, you probably have more AI than you realize. Since January 2025, Google has built Gemini into its Business and Enterprise plans instead of selling it as a separate add-on. That means the same subscription that gives your team Gmail, Docs and Drive now includes an AI assistant that can draft emails, summarize long threads, take meeting notes and build spreadsheets.
The catch: what you actually get depends on which plan you’re on, most teams never get past “Help me write,” and a few setup steps matter a lot for privacy. This guide covers what Gemini does in each app, which plan you need, prompts your team can copy today, and a safe rollout plan. If you’re a Microsoft shop instead, see our companion guide, How to use Microsoft 365 Copilot.
Key takeaways
- Gemini is included in Google Workspace Business plans. There’s no separate Gemini add-on to buy for most small businesses.
- Business Starter gets Gemini in Gmail and the Gemini app. Business Standard and up add Gemini in Docs, Sheets, Slides, Drive, Chat and Meet note-taking.
- Google says business content isn’t used to train its models, and Gemini only retrieves files the user already has access to. Fix overshared Drive files before you roll it out.
- The biggest wins for small teams: email triage, meeting notes, first drafts and research. Treat every output as a draft that a person checks.
What Gemini in Google Workspace actually is
“Gemini” is Google’s name for both its AI models and the assistant built on them, which can get confusing. For a business, it helps to think of it as four separate pieces:
- Gemini in your apps. A side panel and built-in buttons inside Gmail, Docs, Sheets, Slides, Drive, Chat and Meet. It works with the email or file you have open, and can pull in other files you have access to.
- The Gemini app (gemini.google.com). A general chat assistant, similar to ChatGPT, but covered by your Workspace terms when you sign in with your work account. It includes Deep Research for longer research reports and Gems, which are reusable custom assistants.
- Gemini Notebook (formerly NotebookLM, renamed in July 2026). A research tool that answers questions grounded in the documents you upload, and can turn them into briefings and audio overviews.
- Workspace Studio. A no-code way to build AI-powered workflows (“flows”) across Workspace apps, such as labeling emails that need a reply or preparing for meetings.
Most of the value for a small business comes from the first two. Start there and add the others once people are comfortable.
Which Workspace plan do you need?
Google’s Business editions cover organizations of 1 to 300 users. Here’s how Gemini access breaks down across them, based on Google’s official edition comparison at the time of writing. Google changes these tables often, so confirm on Google’s pricing page before you buy.
Gemini by Business plan
| Feature | Starter | Standard | Plus |
|---|---|---|---|
| Gemini app (chat, Gems, Deep Research) | Basic access | Expanded access | Expanded access |
| Gemini in Gmail (Help me write, summaries, Proofread) | Yes | Yes | Yes |
| Gemini in Docs, Sheets, Slides, Drive, Chat | No | Yes | Yes |
| Meet “Take notes for me” | No | Yes | Yes |
| Gemini Notebook | Standard limits | Higher limits | Higher limits |
| Google Vids (AI video) | Yes | Yes | Yes |
| Workspace Studio | Yes* | Yes* | Yes* |
| Google Vault (retention, eDiscovery) | No | No | Yes |
| Pooled storage per user | 30 GB | 2 TB | 5 TB |
| List price, annual plan | $7/user/mo | $14/user/mo | $22/user/mo |
*Requires a verified domain. Google lists Workspace Studio as promotional access, with usage limits enforced from November 1, 2026. Flexible (month-to-month) plans cost more than the annual prices shown, and Google often runs introductory discounts. Prices in USD.
For most small businesses, Business Standard is the sweet spot. Starter’s AI is limited to Gmail and the Gemini app, which is useful but misses the meeting notes and document features where teams save the most time. Business Plus adds no extra Gemini features over Standard. You’d choose it for Vault, more storage and stronger security controls, not for AI.
Plan picker
Which plan fits your team?
1. Does your team write proposals, reports or plans in Docs and Sheets?
2. Do you hold regular Google Meet calls with clients or the team?
3. Do you need to keep and search email for legal or regulatory reasons (eDiscovery, retention rules)?
4. Do people store lots of large files (video, design, photos) in Drive?
What Gemini can do in each app
Gemini shows up in two ways: buttons for specific tasks (like "Help me write" in Gmail), and a side panel you open with the Gemini icon at the top right of most apps. The side panel is the more powerful option because you can ask follow-up questions and reference other files. Here's where it earns its keep.
Gmail
Gmail is the one place every Business plan gets Gemini, and for many owners it's the biggest time saver. Google lists the Gmail side panel, Help me write, Suggested Replies, AI Overviews of email threads and Proofread across all Business editions. "Help me schedule," which suggests meeting times from your calendar, is on Standard and Plus. Use it to catch up on a 30-message thread in seconds, draft a reply in your tone, or find the email where a vendor quoted a price.
Docs
In Docs, Gemini can create a formatted first draft from a short brief, rewrite a section for a different reader, or summarize a long document. The side panel lets you reference other files in Drive with @, so you can write "Draft a proposal for this client using @Scope notes and @Standard terms." Results are much better when you point at specific files than when you leave Gemini to guess.
Sheets
Sheets is where Gemini helps people who aren't spreadsheet experts. You can ask it to build a tracker from a description, write formulas, explain what a formula does, or analyze trends in data you already have. Google also says it can auto-populate tables with new data, which saves a lot of copying and pasting. Always spot-check numbers before you use them in a decision. (Our guide to why AI makes mistakes explains why math is a weak spot.)
Slides, Drive and Chat
In Slides, Gemini can add fully editable slides to an existing deck. In Drive, the side panel can find, summarize and compare files, which is handy when you need "everything we have on the Johnson account" without opening a dozen folders. Gemini also works in Google Chat on Standard and Plus.
Meet
"Take notes for me" (Standard and Plus) has Gemini write up the meeting notes in a Google Doc, so attendees get a summary after the call. It's one of the easiest wins in Workspace: nobody has to take notes, and action items don't get lost. Tell participants when it's on, and decide in advance whether it's appropriate for sensitive calls such as HR or legal discussions. Copy-ready prompts for your team
The fastest way to get a team using Gemini is to give them prompts that work on day one. Pick an app below and copy a prompt. Replace anything in [brackets] with your own details.

Is Gemini safe for business data?
This is the question most owners ask first, and Google's answer is reassuring if you use it correctly. On its Workspace AI page, Google states that business data is "not used to train Gemini models or for ads targeting," and that Gemini "only retrieves relevant content in Workspace that the user has access to." Google's admin documentation adds that people who use the Gemini app through a qualifying Workspace edition fall under the Workspace terms, and their content is not reviewed by humans or used for model training outside your domain without permission. The details are in Google's Generative AI in Google Workspace Privacy Hub.
Two practical points matter more than the fine print:
- Work account vs personal account. The protections apply when people are signed in with their Workspace account. If someone pastes client data into Gemini on a personal Gmail account, consumer terms apply instead, and Google says that data may be used to improve its models. Make "work account only" part of your AI policy.
- Gemini respects permissions, so permissions must be right. Gemini can't see files you can't open, but it's very good at finding the ones you can. If your salary spreadsheet is shared with "anyone in the organization," Gemini can surface it for anyone who asks the right question. Most small businesses have some of this oversharing in Drive.
A safe rollout in five steps
You don't need a big project to roll out Gemini, but a little preparation avoids the two most common problems: sensitive files turning up where they shouldn't, and people giving up after a few disappointing prompts. Work through this checklist with whoever manages your Google Admin console.
Rollout checklist
1. Clean up sharing
2. Secure accounts
3. Set the rules
4. Pilot it
5. Train and expand

Where Gemini falls short
Gemini is a strong choice for Google-based teams, but it isn't magic, and honest expectations make adoption go better:
- It still makes mistakes. Summaries can miss a key detail, and drafts can state things confidently that aren't true. Keep a human check on anything that goes to a customer or affects money.
- It's only as good as your files. If your Drive is a maze of duplicates and outdated versions, Gemini will find the wrong one. A tidy Drive pays off twice.
- Starter is limited. On Business Starter, Gemini isn't available inside Docs, Sheets or Meet, which is where many teams get the most value.
- Features change fast. Google adds, renames and moves features between plans regularly (NotebookLM became Gemini Notebook in July 2026, for example). Check the Admin console and Google's edition pages rather than relying on a screenshot from last year.
- Other tools may be stronger for some jobs. ChatGPT and Claude are excellent for some writing and analysis tasks. Many businesses use Gemini for work inside Workspace and a second tool for the rest. Our ChatGPT vs Claude vs Gemini vs Copilot comparison breaks down the trade-offs.
Once your team is comfortable with the basics, Workspace Studio is the next step. It lets you describe a routine task, such as labeling emails that contain a question for you, and turns it into an automated flow. Start small and keep a person in the loop for anything customer-facing. Our guide to AI automation for small business shows how to pick good first candidates.
Frequently asked questions
Is Gemini free with Google Workspace?
It's included in the price of Google Workspace Business and Enterprise plans, so there's no separate Gemini fee for most businesses. How much you get depends on your plan: Business Starter includes Gemini in Gmail and the Gemini app, while Business Standard and Plus add Gemini in Docs, Sheets, Slides, Drive, Chat and Meet note-taking, plus higher usage limits.
Does Google use our business data to train Gemini?
Google states that Workspace business data is not used to train Gemini models or for ads targeting, and that content from qualifying Workspace editions isn't reviewed by humans or used for training outside your domain without permission. Those protections apply when people use their work account. Data entered into Gemini through a personal Google account falls under consumer terms.
How do I turn Gemini on or off for my team?
Your Workspace administrator controls Gemini features in the Google Admin console, under Generative AI settings. You can turn on or off the Gemini app, Gemini Notebook and individual features, and apply different settings to different groups, which is useful for a pilot.
Can Gemini see all of our company's files?
No. Google says Gemini only retrieves content the signed-in user already has access to. The risk is files that are shared more widely than they should be. Review sharing on sensitive folders before you roll Gemini out.
Gemini or Microsoft Copilot: which is better?
Choose the one that matches where your business already works. If your email and files live in Google Workspace, Gemini is included and built in. If you run on Microsoft 365, Copilot is the natural fit. Switching office suites just for the AI rarely makes sense. See our Copilot guide for the Microsoft side.
What happened to NotebookLM?
Google renamed NotebookLM to Gemini Notebook in July 2026. It works the same way: you add your own documents and ask questions grounded in them. Existing notebooks and shared links redirect automatically, and it's included in Workspace plans, with higher limits on Business Standard and above.
